PROCUREMENT NOTICE

REQUIREMENT: PR9333467 SUPPORT UPDF HEALTH WORKERS TRAININGS

DoD PEPFAR is supporting UPDF to conduct two sets of HIV multidisciplinary training of clinicians and nurses in Kampala for the following dates: from 13- 18 Sept 2020 and from 20 – 25 Sept 2020

The training will attract participants that will travel from up country military bases.

The mission invites responsible vendors to provide quotations for EVENTS MANAGEMENT SERVICE.

NOTE: Dates are subject to change.

DOD/PEPFAR requires the service of an events planning and management firm to provide the following services for a 10 days’ workshop.

  1. Book for the workshop venue with a PAS
  2. Provide accommodation to 60 participants for 5 nights
  3. Provide dinner + incidentals to 60 participants for 5 nights
  4. Provide transport refund to 60 participants for 2 rounds
  5. Provide training manuals to participants
  6. Provide teas, drinking waters and lunch during the workshop for 70 people
  7. Solicit and pay qualified trainers to conduct the trainings
  8. Submit a training report to DoD HIV program Manager at the end of the training

The successful candidate should have experience in handling large events of > 50 people for more than 3 occasions. Experience working with armed forces is a plus.

For the success of this meeting, an events manager is to offer the following services;

  • Conference facilities including Hall hire/projector/ public address system for 10 days at a cost not exceeding Shs 500,000 per day
  • Accommodation for 60 participants including bed and breakfast for 10 days at a cost not exceeding Shs 120,000 per night.
  • Conference package (Lunch,teas, refreshments ) 60 participants for 10 days ( break tea, lunch , 2 teas, incidentals, dinner) at a cost not exceeding Shs 600,000 per person
  • Transport refund for 60 participants from all over the country for a round trip at a cost not exceeding Shs 150,000 per person
  • Assorted stationary plus certificates at a cost not exceeding Sh 800,000
  • Events management services at a cost not exceeding Shs 1,200,000 per day
  • Participants dinner & incidentals for 60 participants not exceeding Shs. 70,000 per day
  • Facilitators fees for 10 days not exceeding Shs. 25,000,000
  • Sanitizers and Masks at a cost not exceeding Shs. 4,000,000

Note;

The following Covid 19 guidelines must be considered during the training

  1. Total participants 30 per class
  2. Each table to host two participants spaced at 1.5metres
  3. Each participant to wear a mask at all time
  4. Each facilitator to stay at least 2metres away from participants.
  5. No air conditioning during the training.
  6. Avail sanitizers at the entrance of the training hall and ensure mandatory sanitization of all participants.
  7. Accommodation and training hall be sanitized before prior to arrival of participants.
  8. Daily temperature measuring for all participants and facilitators.
  9. Hire and sanitize transport means for participants from facilities to the training venue
